Step by step

  1. Open AI clinic assistant from your CRM menu. The compact chat keeps its message box visible on mobile and desktop; replies and review cards scroll inside the conversation.
  2. You can also tap the floating Rapivexa AI button on an enabled CRM page to open chat without leaving your current work. Close it to return to that page; chat stays available when reopened on the same page. The arrow in the panel header opens full chat. On mobile the panel sits above navigation. Closing stops microphone capture and spoken replies. Navigating to a different page starts a new chat.
  3. For voice chat, choose English or Hindi next to the message box, tap the microphone and allow voice input the first time. Speak, tap the microphone again to stop if needed, then check the editable transcript and press Send. Turn on Spoken replies to hear answers, or use Listen below an individual reply. Stop voice ends playback. Names, phone numbers and dates must be checked before confirming a record.
  4. Your clinic admin enables AI and approves permitted record sharing once in Clinic Settings. The saved approval applies to staff chat until revoked or the billing administrator changes provider/model. There is no per-message consent checkbox. Technical provider details and terms remain in settings.
  5. Ask about patient counts, appointments, pending outcomes, follow-ups or permitted invoices. Type a name, phone, email or explicit patient ID, such as “DEMO Patient 04 ka full record dikhao”; a unique match opens its permitted profile, timeline, appointments, invoices and saved clinical history directly. Multiple matches offer patient choices inside chat. Clinic-admin chat defaults to all your clinic locations; Choose patient / scope can narrow this. Reception cannot read clinical notes. Use source links to verify answers and Show more records for older pages; the displayed total covers all matching records. A record question can interrupt an unsaved booking or registration draft.
  6. To register a client, type “Register patient Priya Example, phone 9876543210”. Reply with any missing information, or fill the compact review card. Name and valid phone are required; email, city, age and gender are optional. Check the details and press Create patient. Chat alone never saves a record. Communication consent is collected separately in the patient profile.
  7. To book, type “DEMO Patient 04 ka appoimnet book karo”. The assistant selects a unique active patient in your current working location. The Patient field inside the review card lets you search by name, phone or ID and choose a matching record directly. If multiple patients match, choose the correct one. Share the doctor, future date/time and visit reason in chat, or complete the review card. Times use IST. Doctors can book only their own appointments.
  8. Review the patient, doctor, date/time and reason; press Confirm booking to save. The success reply and source link appear in the same chat without a page refresh. Confirmed request retries do not create duplicate registrations or appointments. An existing phone/email keeps the original client profile.
  9. Use Cancel to discard a pending action, or New chat to clear the conversation. Chat history stays in the current tab and is not saved by Rapivexa. Notifications still follow patient consent, opt-out, template approval and configured delivery settings.

Keep in mind

See the separate AI settings guide for the activation and approval screenshots.

Clinic sharing approval can be revoked in settings and is renewed if provider/model changes. Relevant identifiable data may be sent to the approved external provider; review its privacy/retention terms there. Images/PDFs, passwords, integration keys and private paths are excluded. Clinical summaries require clinician review; the assistant cannot diagnose, triage or prescribe. Only the explicit Create patient or Confirm booking action saves a record. A queued message is not proof of delivery.

Voice needs a supporting browser, microphone permission and HTTPS (or localhost). Browser recognition may process audio online; Rapivexa stores no recordings. Replies use installed device voices, so language availability and sound quality vary. Unsupported browsers retain text chat or keyboard dictation. Voice input is a single turn, and stops when you leave the page; it does not receive phone calls.

Menu names and available actions can vary by specialty, role and plan.
